8 Tools to Stay Organized

Organizing yourself is always important and never easy. You can get away with neglecting it if there isn't too much on your plate. As soon as you have several things in life to juggle it becomes imperative to up your organizational skills. Work and study anyone? Or work and parenting? Or all three? The first step to get organized well is to know what exactly it is you want to get done. I wrote down what's important to me on slips of paper as I like to touch and see my thoughts.

Keep Work, Study & Your Personal Life in Separate Systems

After looking at the many parts of my life that are important to me, I decided to organize them separately. As great as the thought of having everything in one place sounds – Will you be really capable of keeping an overview of dozens and dozens of items at a glance?

Of course many areas in our life overlap, but keeping the organizational part separately helps to keep an overview. At work I use Outlook Tasks, Outlook Calendar and Post it notes. For my master's program on the side I work with Slack, Trello, Asana and Google Calendar. Privately I work with Google Calendar and reminders on my phone.

Below I will explain the benefits of each of the tools I use to stay organized. This is not a complete list but tools that I have been using for some time and which help me tackle certain challenges.

Make Your Tasks Tangible with Post it Notes

Our development team works agile and many walls are covered with Post it notes. One of the nicest things about that: You can literally grab a task and move it around. I use Post it notes to split up projects into small steps. After a step is completed, I can move it to my "Done" section and concentrate on the next step. That is quite satisfying. I also use different colored notes for different projects to keep them apart.

See the Tasks for Today in Microsoft Tasks

At work I've added "Tasks" to my Outlook sidebar. It's great for seeing upcoming deadlines and for setting reminders. I can also set alarms for each task so that it will pop up on my screen. Tasks can also be set as recurring so that they will appear again after a set time. This is great for weekly, monthly and quarterly tasks.

Set up More than Meetings in Microsoft Calendar

While this is the calendar for all my meetings and calls at work I will use it for more than that. Block time slots with yourself to prepare for important meetings or for going for a run during lunch break. This way you are blocked for invitations and win back some control over your time. I've seen colleagues insert their leaving time into Outlook so others could see when they would not be available anymore. Smart.

Working with Big Teams in Slack

Slack is the main communication tool for my master's program. I love how a big group of students can effectively interact in groups, share files and work on projects together. Each subject has its so-called channel and on top we do group work in private conversations. It's worth taking a look.

Organizing Tasks in Trello

This Kanban-inspired tool
is our main organization tool from our lecturers to us. All our tasks are organized in cards. They are like Post it notes but better as they have all materials we need linked or attached. This gives us a good general overview of what we need to do and we can also see what will come.

Google Calendar Unites Private Appointments and Study

I've connected my private calendar to that of my university and now I have all courses and private appointments in one calendar. It makes sense for me to combine these two as they both take place outside office hours. That way I can check easily whether I am available for friends in the evening or whether I have an online course.

Asana Lists all My University Tasks

I use this app as my task board for university. While Trello lists all tasks for all students, I only insert the ones from my courses into Asana. Each subject has it's own column and I break down the tasks from Trello into small chunks for me here. I can see what needs to be done for each subject and can tick tasks off.

Reminders on my Phone Save me Daily

If I don't write stuff down, I will forget about them for sure. Need to dress nicely for a business meeting? My phone will remind me in the morning at around the time I know I will get dressed. Have a workout during lunch break? My phone will remind me to pack my workout clothes. Promised a book to a coworker? My phone will tell me. The less I need to remember these days, the better!

These are my go-to tools. How do you stay organized? Do you have simpler solutions? I think I could still improve my strategy.

How to Stay Fit Without Going to the Gym

I don't like gyms. They feel like muscle factories to me. But then I like to stay fit. So while you will find me at yoga classes in nice environments, you will much more often see me working out in my living room with hardly any equipment. This is how you get and stay fit without a gym membership.

1. Ride Your Bike and Take the Stairs

I know, I've promised workout tips BUT - have you ever noticed how much workout potential your everyday life offers? Leave the car at home and take the bike if your destination is only two or three miles away. Walk wherever possible. And always prefer the stairs to the elevator. Your body will thank you by making you feel much more awake throughout the day.

2. Do Body Weight Exercises

You don't need a ton of equipment to work out at home. You are carrying your biggest and best equipment around with you all the time anyways - your own body. Here are my favorite web resources for body weight exercises:
There are also two apps I use a lot. Sworkit is free and has a huge database of great exercises and each one is accompanied by a little video so you see what to do. I use this app almost daily, setting it for 25 minutes, my favorite programs being strength training for my whole body and their boot camp setting. The app will regularly give me 30 second breaks to drink (and dry my sweaty face) and always leaves me completely exhausted and proud of my body.

The other app I love is bodyART (German) which is based on yoga, pilates and functional training. I love the combination of strength and balance exercises here. It does cost a few bucks but it's totally worth it. The main program is a bit more than an hour so this would be something I do on the weekend.

3. Get Small and Effective Equipment

    1. 7 Moves for a Tone It Up-Style Full-Body Burn (gifs)
    2. Kayla Itsines Summer Sweat Series (Youtube)

If your space at home is as limited as mine you will not want to fill every corner with sports equipment. There are a few little things though that will make your workout at home more effective:
  • Workout clothes: They are no equipment in a conventional sense but investing in breathable sports wear and a good sports bra (There's no better brand here than Shock Absorber) will make you feel better when you sweat. And the better you feel during and after your workout, the likelier it is you will turn it into a healthy habit.
  • Small weights: Many exercises can be enhanced with weights. Either dumbbells or wrist or ankle weights. Get some that you can lift easily, so that you are able to do many repetitions. Heavier kettle bells are also a good idea. All of these you can easily stash under your couch, no extra space needed. You will find ideas for workouts with no more than these few items here:
    1.
7 Moves for a Tone It Up-Style Full-Body Burn (gifs)
    2.
Kayla Itsines Summer Sweat Series (Youtube)
This is how easy it can be to stay fit without a gym membership. To turn exercising into a habit, try different workouts until you find one that makes you feel strong and happy every time.

My Personal Five-Minute Journal

I've heard about The Five-Minute Journal first in an episode of Jess Lively's podcast where she interviews one of the founders. The basic idea is that you take a few minute each morning and each evening to think about what you expect from the day, motivate yourself, be grateful and reflect. Ever since that interview I kept coming back to the idea.

1/2

My friend Claudia told me that she thinks of at least two things she is very grateful for at the end of every day. I loved this idea - and it reminded me of the journal again. I kept playing with the thought of getting one but I only wanted to write once a day and also include other things. Finally I came up with my own mixed concept: I list three wonderful things I am grateful for, write down how I could have made the day better and also keep track of my fitness and health goals.

To make my new diary as attractive as possible, I chose a beautiful notebook by Ana de Lima and got the "perfect pencil" from Faber Castell. They actually call it like that and rightly so. It glides wonderfully over the surface of the paper and comes with its own sharpener hidden in the cap, genius. To track fitness and health goals I got these cute planner stickers from Carta Printea. I am on day three of my personal five minute journal now and I already love it. I underestimated the power of writing down what I am grateful for and also the positive effect of reflecting what I could have made better in a very practical way. What do you think of it? Is this something you would try?

5 Ways of Developing a Positive Body Image

Being a woman is certainly not always easy. Even in the 21st century we are mainly judged by our looks. This often leads us to compare ourselves to the ideal as well and we forget how good we could feel in our own skins. And how confident we could walk through life. I've rounded up 5 ideas on how you could develop a positive body image. It's time we settle in ourselves and enjoy being women.

1/2/3/4

1. Trage sexy Unterwäsche – auch als Single

I glaube fest daran, dass du in erster Linie für dich selbst sexy bist. Verliebe dich in dich selbst, lange bevor du jemanden in dein Herz lässt.

1. Wear sexy lingerie – even if you are single

I firmly believe that your sexiness is first of all for yourself. Fall in love with yourself way before anyone else is allowed entrance to your heart. Why not seduce yourself with really nice underwear? Who cares whether no one else sees it? You know you wear it and you will feel it. By holding your shoulders higher, for instance. And when that special someone turns up he will surely not mind your nice collection.

Make-up kann deine Stimmung sehr machtvoll transportieren.

2. Experiment with make-up – for yourself

Don't underestimate the power of make-up. Whether you normally just cover up your spots or turn into a sex bomb every morning, try something new. Make-up can express your different moods in a strong way. Just ask a stage actor. View your face as the canvas of your personality and all the colors you got as the emotions you can paint with. Have fun!

Egal was du tust, spüre und genieße deinen Körper.

3. Do sports to feel good – not to look good

I used to view any kind of sport as a way to burn fat. The more fat I could burn with something the higher I rated it. But about two years ago I started to do bodyART, a mixture of yoga, pilates and classic workout, and discovered how great it is to feel my body. How nice it is to feel its strength grow and its flexibility evolve. It doesn't burn all the calories I eat (which is still a bit sad) but it fills me with joy and with love for my body. I also run from time to time which I used to hate when I was doing it only to lose weight. Now I am always thankful for my short legs which can carry me so far. Whatever you do, feel and enjoy your body.

Danach habe ich mir gleich ihr eBook "How to not eat cake..." heruntergeladen. So erfrischend!

4. Eat to feel full and happy – not guilty

Here I am going to preach to myself in the first place. My relationship with food got screwed up as soon as I entered puberty with 12 and I started to weigh myself every week. I wish I could go back, push that girl off the scale and tell her to go play. Some time ago I heard an interview with Isabel Foxen Duke on Jess Lively's great podcast and immediately downloaded her ebook "How not to eat cake". She basically teaches that you should enjoy what you eat and make your body feel good. To stop despising yourself for eating. So refreshing!

5. Be kind to others – out of self-respect

Now let's step back from our bodies and look at others. Women can be so spiteful to each other. Does it make us stronger in any way if we put someone else down? Or even criticize them for how they look? I always find women who elevate others amazing. They radiate strength and self-respect. They know who they are, they fight real enemies and injustices, not the colleague who is "just a bit too fat" which is "such a pity as she has a really pretty face".

These are the ideas I wanted to share with you. Do you have more ideas on how we could celebrate our womanhood? It would be great if you shared them.

Girl's Night In

I have never lived alone - I am too much of a people person for that. The thought of going to bed without anyone else in the apartment sounds truly sad to me. Which does not mean that I do not enjoy a night on my own, though. I can get pretty excited about having time to spend all by myself and quickly turn to my favorite things to do on a girl's night in.
Bild/ Picture

1. Taking a Bath

Is there anything more soothing? Hot water, my favorite bath foam or oil, a brush massage, nice lighting and maybe a face mask or a scrub.

2. Watching a Documentary

Right now I am extremely into Chef's Table on Netflix. I don't cook but it is so inspiring to watch these world class chefs' stories. Their passion is contagious.

3. Raus gehen (teilweise zumindest)

Erinnert ihr euch noch, als ich meinen
Balkon neu gestaltet habe?

3. Going Outside (Kind of)

Remember when I redid my balcony? It has even more plants on it now and as soon as the weather allows, we eat outside, I read outside and sometimes take my laptop outside, too. It is so beautiful hearing the birds sing and as it gets darker seeing bats flutter about.
Bild/ Picture

4. EVERYTHING for Dinner

Don't judge me! I know you want it too. Nights alone often end up indulging in stuff that generally does not count as proper dinner but rather party food: crackers, dried fruits, cheese, nuts, chocolate ... Heaven, I tell you.
Bild/Picture

5. Blumen

5. Flowers

There is no way I could ever have too many flowers and plants. Last week I was out to get a birthday gift for a friend, flowers for her balcony. And deep down inside all I wanted was taking the whole flower store home, everything. But up 'til now I have resisted - apart from a bunch of flowers I bring home every now and then.

Siblings in My Family: One Girl, Two Boys

Recently it struck me that for four generations now we always have the same combination of siblings on my mums side: one girl, two boys. I'd lie if I said that growing up with two brothers was always fun. Since the time we all count as grownups though I couldn't imagine my life without those two funny guys. We grew up to be best friends and very honest to each other. We take each other for serious, respect and listen to each other. In front of Otto and Daniel I never have to hold back anything - we all saw each other laughing, crying, heartbroken or ill at some point of time. No need to start hiding things now, right?

From top to bottom: My great grandmother Irén with her brothers Sándor and Gyula, my grandmother Klara with her brothers Endre und Gyula, my mom Klara with her brothers Árpád and Karl (yes, they are twins and yes, they still look the same) and me with my brothers Otto and Daniel.

Ways of Collecting Memories Visually

Since I can remember, my mother has been collecting rocks and shells on every vacation. She called them her treasures and hid them in boxes and drawers at home. I wondered what she wanted to do with all of those collections. A few years back she put a bar cart on the balcony and started arranging them by date and place of origin, sometimes adding the wedding anniversary if it was a special one. In the beginning there were only a few small bowls and trays but the collection of her most beautiful memories grew fast and I love looking at all of her treasures. Although I found this habit of hers to be quite strange during my teenage years I must admit I have inherited this drive to hunt and gather memories. The only difference is that my collections are two-dimensional in my collages or even virtual, in this blog.

So I started looking into whether and how others collected memories visually. Naturally I started off with travel diaries containing photos, entry tickets and receipts as I had done that as a child. Somewhere in the attic there is a Paris book and a Romania Book and probably a California Book as well. Back then, no ticket, no boarding card ever went to trash.

1/2/3

During my research I also encountered people who collected three dimensional memories just like my mum. Often the finds were arranged in little boxes which reminded my of the mineral displays in natural history museums. I love those exhibitions and I can spend hours there. In London Nate asked me why I hadn't become a geologist. But it's really just the display, the colors and the shapes that get me, never the chemistry behind all of it.

1/2/3/4

In London's Tate Modern I stumbled upon a completely different kind of diary. The artist Louise Bourgois used to sew books made of fabrics she had collected all her life. Often these books deal with her homeland and reflect her origin in a family of restorers of old fabrics. after a short search I found more female artists who sew memories. Wonderful! I'm just about to try this technique myself. But first I'll have to overcome the fear of facing the first attempts whch probably won't look impressive but rather like bad copies. At least I know my creative curiosity will win over my perfectionism eventually, as always.

1/2/3

Wie sammelt ihr Erinnerungen? Sind sie nur in eurem Kopf? Oder auf Facebook? Schreibt ihr Tagebuch?

How do you collect memories? In your head only?  Or on Facebook? Do you write a diary?

A Self Portrait

During a creative workshop at work we had to put together a self portrait from magazine snippets in 15 minutes. That was fun. At home I have collected so many bits and pieces that are me that I wanted to do a collage like that again but without the time pressure. Somehow it turned out very pink. Don't judge me.

5 Things I Will Want to Have Achieved by the Age of 90

2. Ich will ohne Bitterkeit leben.

3. Ich will Freude suchen.

5. Ich will zutiefst lieben.

I'm turning 33 this year and considering how old women get in my family I expect to live at least 60 years more. I don't know why I think about getting old these past months but I do. Maybe it's because the first third is over, maybe it's because the first milestones are taken, but maybe it's just because of some fantastic old people I have met this year. More than once I whispered to Nate: "I want to become like her."

Like the British wife of a professor at the chocolate and wine seminar who was on her own with her children over long stretches sometimes when her husband had to travel for work. She made me laugh so hard tears ran down my face. She was unbelievable. - Like Nate's grandmother who is so full of love and cordiality that she might burst. She prevents that by being friendly to everyone and cooking huge amounts of genuine Southern food for the whole family - thank God I am part of her family now. - Like Hildegard who never allowed life to break her. Whatever happened to her, she evolved stronger and happier. I visited her when she had a broken leg to lift her spirits but she did not need any encouragement. I was the one going home encouraged.

These women are awesome in the true sense of the word. I could listen to them for hours to find out about their secret. I don't even know if there is a secret. Whatever it is, these are the things I saw them do and I make these my New Year's Resolutions for the next 60 years:

1. I Want to Stay Myself.

Sounds easy but sadly I have only met very few old people who managed to stay themselves. A lot of times I heard that they used to be different but situations and people have twisted them. I want to follow the example of old women who did not bend to anything or anyone.

2. I Want to Live Without Bitterness

It's not like life does not provide enough occasions to become bitter. I have never seen any good come of it though. Maybe I have just overlooked the good things. For my part, I want to stay away from bitterness, forgive and let go pain.

3. I Want to Look Out for Joy.

From the women above I have learned that there is always reason for joy. No matter whether you are healthy or not, how your marriage is going or your career. Even the death of a child does not wipe out joy. I want to remember this.

4. I Want to Always Find Reasons to Laugh.

I deeply wish to never lose my loud and free laughter. At a good joke, a little embarrassment on my side, with friends, with my family.

5. I Want to Love Deeply.

Whatever will come I never want to lose my ability to love. I've already got hurt quite often and I will get hurt a lot in the upcoming 60 years. I really hope that hurt will never keep me from loving and embracing new friends without fear and mistrust.

This looks like quite a building site but at the end I will hopefully be an old woman with white hair, two million wrinkles and beaming eyes. A colleague once told me that she believes we stay the same when we get old, that we only become more intense. In my case she believes I will babble excitedly and happily all day long, colorfully clad and a bit crazy. I hope she's right.

How to Write Emails People Will Actually Read

I have not even been working for ten years now but I could already give you a far too long list of crappy emails. School probably missed to teach us how to write them and only gave us the rules for letters on actual paper. Whatever the reasons, I wish people would stop sending me badly written and formatted emails. Today I will introduce you to some very easy basic rules with the help of a really bad email. These rules will improve your electronic communication at the office as well as in your private life. Please note that I have never actually received this email. It is a collection of all the sins I've seen. So there should not be a single person feeling guilty of doing this but at least ten! Let's take a look at that horrible email thingy, okay?

The Email Monster

Was ist hier falsch?
What is wrong here?
  1. "Saturday" is no subject line! Use the subject line to make the content of your email as clear as possible. You don't have to write a whole sentence but let the recipient know what your email is about. You are one of those people who tend to leave the subject line blank? STOP IT! Everyone hates that, everyone.
  2. "Hi" is only a proper greeting if you do not know the name of the recipient. That may happen if you write to a company. If you know the name of the recipient, PUT IT DOWN. It's called politeness and appreciation - in its most basic form. Be so kind and take two seconds to type a name - that is all it takes.
  3. There is no "please" in the email above. If you want something from someone, always include "please". Just do it, this point is not up for discussion.
  4. About formatting: avoid italics, red, bold, underlined and the like. Keep your formatting low key and consistent. That makes your email a lot easier to read. Also please avoid too many blank lines. Some think it makes the email easier to read. Look at the example above - it doesn't.
  5. About content: Make your email as long as necessary but as short as possible. If you've written a monster like the one above, read it again and try to make it concise. Yes, that does take time but you want your recipient to read and understand what you want, right?
  6. Everyone hates emails with loads of attachments - unless they are fun shoots from the last party. Also make sure they are clearly named.
